The sustained efficiency of a properly maintained database made possible with effective data cleansing is of utmost importance to the smooth flow of information in virtually any business that stores information in database format. A properly maintained database should perform flawlessly and allow trouble-free operation on a daily basis without the need for constant adjustments and repairs. A company’s IT department is usually tasked with the responsibility of making sure that data within several databases is current, functional, and error free. In the early days of database creation, checking for errors or erroneous information required, for the most part, human intervention to spot check database entries to confirm that information was entered in the correct format, and that it aligned perfectly with the parameters required for a particular set of values. If these checks were not made and the errors were not corrected, a database could become corrupted in a very short period of time, making any effort to save it a useless waste of time, and an unnecessary expense.
Data cleansing software
With the advent of data cleansing software, the chore of manually cleaning a database is no longer a necessity. The software will check for duplicates by using an algorithm that looks for duplicate entries, erroneous entries, and even false entries. In order for a database and the computers that connect to it to run efficiently and at high speed, the information must be kept accurate and current or else the information is simply useless. Also, if the information is corrupt, the entire database could crash, preventing any further access to it. The only solution here is to install a clean backup, or duplicate database. This brings up another point about why a duplicate database is crucial to successful database management. As I’ve mentioned, whenever a database becomes corrupt, it doesn’t make sense to manually correct it unless the error is easily repaired. The only other solution is to install a clean backup. This is where the importance of having a current and functioning backup is so crucial to operations. In minutes, a new database can be installed into a program where the old corrupt database used to reside.
Clean duplicates at the ready
Data cleansing solutions have been available for some time now, and many software companies offer varying degrees of cleansing complexity, depending on the type of database. Custom databases are by far the most common and without some type of data cleansing software always ready to be put into service, a database is literally a disaster waiting to happen. Anyone who has any experience with data loss already knows how quickly catastrophic damage can occur to a business if clean duplicates are not ready on a moment’s notice. This includes clean, accurate, and current lists along with correct and current databases that can be replaced immediately when a crash occurs. Notice that I said “when” a crash occurs. Truthfully, it’s a mistake to believe that a crash won’t occur. In fact, every IT department should always expect the worst possible scenario short of a data breach by always and forever, having the company’s information lists and databases ready to be put into service whenever the need arises. Understanding the importance of data cleansing, clean duplicates, and quality data cleansing software, many of the data loss disasters can be mitigated, or at least kept to an acceptable minimum.
